About the roleWe're looking for a Project Administrator to join our Auckland office and play a key role in supporting our multi-disciplinary engineering teams.

ResponsibilitiesAs our Project Administrator, you'll provide operational, financial, and administrative support to help our teams deliver projects efficiently and on time.

You'll coordinate project documentation, reporting, invoicing, and schedules, while helping to maintain communication across our teams and with our clients.Provide administrative support to our Project Leaders and Engineering teamsAssisting with project setup, proposals, and monthly invoicingMaintain project documentation, schedules, and reportsCoordinate and schedule meetings, prepare agendas, and take minutesTrack project progress and assist with status updatesSupporting multi-disciplinary projects and tendersLiaise with internal teams and external stakeholders and clientsAssist with procurement, invoicing, and budget trackingEnsure compliance with company policies and project standardsThis is a busy and varied role, so you will be a natural organiser with the ability to easily multi-task and prioritise your team's workload.What we offerWorking with a great team, collaborative environment, competitive remuneration, options for flexible working, and opportunities for professional growth and development.About youYou'll bring proven experience in project administration or coordination, ideally within a construction or engineering consultancy.

You're confident managing multiple priorities and enjoy helping teams work efficiently.Excellent organisational and communication skillsStrong attention to detail and a proactive approach to problem-solvingProficiency in Microsoft Office (Word, Excel, PowerPoint, Teams) and experience with project management tools such as MS Project, Smartsheet or similarConfidence working with accounting systems – Xero experience is a plusFamiliarity with AI tools to improve workflow efficiencyWork well both independently and collaboratively across diverse teamsA diploma or degree in business administration, project management, or a related field will be highly regardedAbout usKirk Roberts Consulting is a multi-disciplinary consultancy providing Structural, Geotechnical, Fire, Civil and Environmental Engineering Services, Architecture and Engineering Software to a range of clients across New Zealand, from our offices in Auckland, Queenstown, Christchurch, Hamilton, and Tauranga.At Kirk Roberts the heart of our business is innovation and finding a better way is why we exist.
