We're looking for a Project Administrator to join our Auckland office and play a key role in supporting our multi-disciplinary engineering teams.

About The Role
As our Project Administrator, you'll provide operational, financial, and administrative support to help our teams deliver projects efficiently and on time.
You'll coordinate project documentation, reporting, invoicing, and schedules, while helping to maintain communication across our teams and with our clients.
Responsibilities
Provide administrative support to our Project Leaders and Engineering teams
Assist with project setup, proposals, and monthly invoicing
Maintain project documentation, schedules, and reports
Coordinate and schedule meetings, prepare agendas, and take minutes
Track project progress and assist with status updates
Support multi-disciplinary projects and tenders
Liaise with internal teams and external stakeholders and clients
Assist with procurement, invoicing, and budget tracking
Ensure compliance with company policies and project standards

Qualifications
Excellent organisational and communication skills
Strong attention to detail and a proactive approach to problem-solving
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Teams) and experience with project management tools such as MS Project, Smartsheet or similar
Confidence working with accounting systems – Xero experience is a plus
Familiarity with AI tools to improve workflow efficiency
Work well both independently and collaboratively across diverse teams
A diploma or degree in business administration, project management, or a related field will be highly regarded
