Tataki Auckland Unlimited (TAU) is Tamaki Makaurau Auckland's cultural, events and destination agency.
It is an Auckland Council-controlled organisation that works to make Auckland a vibrant place to live and visit, through events, experiences and taonga (treasures).

Our Administrator Venue Planning is a key member of the team that oversees our venue booking, calendars and contracts management for Auckland Live and Auckland Conventions, Venues & Events brands across 13 venues.
You will be a central hub for administration, information, and support for the event sales and programming teams working in these brands.
Additionally, in this role you will lead and collaborate on business improvement and development projects in venue management with internal and external stakeholders.
The role will provide business support as directed by the Business Services Lead and will report to the Head of Venue Planning.
Responsibilities
Deliver venue booking, event calendar and contracts management services for the event sales and programming teams
Manage compliance of all booking and contracting requests from inception through to completion with a focus on optimising the event calendar and standardising contracting in accordance with organisational policy
Support the development and implementation of communication and information systems and procedures that support booking and contracting process.
Support the development and implementation of effective business support processes, information systems and procedures for the event sales and programming teams.
Coordinate the gathering and review of venue event data (i.e. venue utilisation and event statistics) with the team.
Monitor and track event invoices, deposits and credits with Finance to help maintain client accounts in support of the event sales and programming teams
Assist the Property team and their respective Capital Projects and Facilities teams in booking venues for works

Ideal applicant
Our ideal applicant comes with strong communication, verbal and written abilities with a good eye for detail.
The secret to our success is our high levels of engagement across our teams and collaboration, especially due to the volume of events we hold each year across 13 venues.
This means we need a great team player who is efficient in their prioritisation of work and will be able to work autonomously managing multiple events or projects with little supervision.
Our relationships are also a massive factor to our success, both externally and internally, so we're looking for someone who has the interpersonal skills to build rapport and manage key relationships with a strong customer-focus approach in this role.
You will ideally come with
2 years' experience in an arts, events or venues management background
2 years' experience in administrative roles
Proficiency in using Microsoft Outlook, Word and Excel
Previous experience with Momentus Enterprise or similar Events Management digital platform would be desirable
Experience with diary scheduling, reporting, contracting and invoicing would be advantageous
