Make an Impact Every Day.ResponsibilitiesYou'll provide high-level administrative and operational support to our Department Heads, keeping calendars, inboxes, processes, and communications running flawlessly.
You'll also contribute to company-wide initiatives and projects, ensuring the leadership team can focus on strategy and growth.Manage Department Heads' inboxes, prioritising and flagging key correspondenceMaintain and coordinate calendars / diaries, schedule meetings, and prepare agendasBook and organise Strategy Team meetings, take minutes when required, and arrange cateringAssist with personal errands or PA duties as neededEnsure client-facing resources are professional, accurate, and delivered on timeSend and receive courier packages, order supplies, and maintain office systemsAnswer incoming calls and direct them appropriatelyMaintain filing systems, Dropbox management, and company SOPsCoordinate office-wide surveys and collate results for reviewUpdate and maintain databases including emails, LinkedIn connections, and HubSpot recordsSupport distribution of internal and external communications, including newslettersParticipate in and manage special projects assigned by Department Heads or Director of OperationsCollaborate with cross-functional teams to improve processes and overall efficiencyQualificationsYou're a proactive, professional, and highly organised individual who thrives on keeping things running smoothly.
You can juggle multiple priorities with ease and maintain a high standard of accuracy and professionalism.You bring : Proven experience in administration, executive support, or office coordinationStrong organisational and time management skills with the ability to prioritise effectivelyExcellent written and verbal communication skillsHigh proficiency in Microsoft Office / Google Suite; familiarity with HubSpot or other CRMsAttention to detail and accuracy across all tasksAbility to work independently and collaborativelyProfessional, personable, and discreet when handling confidential mattersPositive, proactive attitude with a solutions-focused mindsetBonus if you have : Previous experience in a PA or EA role supporting multiple stakeholdersExperience with survey tools, newsletter platforms, and Dropbox (or similar file management systems)Background in client care or customer service rolesFamiliarity with creating and managing Standard Operating Procedures (SOPs)Why Join Us?
