Executive Assistant

National Support Office, Auckland

As the Executive Assistant (EA), you'll provide seamless, proactive support that allows our finance leadership to focus on driving strategy and governance.

Acting as a trusted partner, you'll manage calendars, priorities, and communications while serving as a vital link between the CFO, Finance team, Board members, and key internal and external stakeholders.

Your responsibilities will span the full spectrum of executive assistance — from confidential administrative support, meeting coordination, and travel logistics to the preparation of polished communications, presentations, agendas, and minutes.

You'll anticipate needs, adapt quickly to new projects, and ensure that every detail, from Board papers to group itineraries, is delivered to the highest professional standard.

This role blends classic EA responsibilities with a strong administrative and governance support focus, making it ideal for someone who thrives on organisation, detail, and delivery.

A key part of the role is supporting the Company Secretary and finance leadership with hands-on Board and Committee administration — from compiling papers and briefing packs to tracking actions and coordinating logistics.

This requires a balance of discretion, accuracy, and flexibility, as you'll be working closely with senior executives and Board members.

Alongside governance support, you'll also take ownership of administrative tasks such as expense management, invoice processing, and reconciliations, ensuring compliance with SCHL policies.

This is a varied role where attention to detail, a proactive mindset, and a willingness to roll up your sleeves are just as important as professionalism and presence.

Proven expertise : 5–10 years of experience as a senior Executive Assistant in a fast-paced corporate environment

Governance know-how : Strong knowledge of Board processes, governance requirements, and the ability to manage highly confidential financial information with absolute discretion.

Exceptional communication : Advanced written and verbal skills, with a flair for drafting and proofreading documents to the highest standard.

Organisation & agility : Outstanding time management and prioritisation skills, with the ability to juggle multiple priorities and deadlines while staying calm under pressure.

Executive presence : Confidence and professionalism to build strong relationships with senior executives, Board members, and external stakeholders.

Tech savvy : Advanced Microsoft Office 365 skills (Outlook, Word, Excel, PowerPoint, SharePoint) and the ability to pick up new systems quickly.

Added advantage : Experience working in professional services, healthcare, or other complex multi-entity organisations.
