Proposals Coordinator / Communications Specialist

About the role

We have a superb opportunity for someone to join our team as our Proposals Coordinator / Communications Specialist based in either our Christchurch or Auckland office. This role is ideal for someone who thrives in a fast-paced, collaborative environment and has excellent writing, coordination, and communication skills. You’ll play a key role in supporting our business development efforts, ensuring the timely creation of high-quality proposals, capability statements, and other collateral. You’ll be joining a supportive and skilled team where your contributions directly help shape the success of the Buildings team and broader Stantec business.

Responsibilities

  • Write, coordinate, and develop compelling proposal and capability documents tailored to client requirements.
  • Assist with award submissions and development of specialist sector profiles.
  • Update / maintain non-opportunity specific materials (including project proformas and personnel profiles, images, collateral materials, etc.).
  • Support the marketing team with internal and external events as required.
  • Collaborate with internal stakeholders (e.g. technical teams, business development managers, and proposal leads in Australia) to gather content for proposals.
  • Manage and update tender portals, ensuring required documentation and pre-qualifications are current.
  • Manage and update client and internal databases.

What you’ll bring

  • Tertiary qualification in Communications, Marketing, Business, or a related discipline – or equivalent experience.
  • 1–2 years of experience in a similar role (could suit a recent graduate with the right attitude and skills).
  • Excellent written communication and editing skills.
  • Strong attention to detail, ability to multi-task, and work to tight deadlines.
  • Proficient in Microsoft Office Suite (especially Word and Excel); experience with Adobe Suite or InDesign is a bonus.
  • A self-starter with the ability to work autonomously and within a team environment.
  • Ideally, previous experience in the design, construction, or engineering consultancy sector.
