As the Business Support and Personal Assistant to the Chief Operating Officer, you'll provide high-level support spanning executive coordination, business operations, and strategic enablement.You'll manage complex calendars, inboxes, travel logistics, and confidential communications with precision and discretion.
You'll help drive the operational rhythm of the business—preparing briefing packs, tracking key deliverables, supporting governance forums, and coordinating leadership offsites and strategic events.
You'll also support the wider CBW Leadership Team to align priorities, facilitate internal communications, and ensure initiatives are executed smoothly.Your proactive approach and ability to connect the dots will make you a trusted liaison across the organisation.ResponsibilitiesManage complex calendars, inboxes, travel logistics, and confidential communications for the COO.Prepare briefing packs, track key deliverables, and support governance forums.Coordinate leadership offsites and strategic events.Assist the CBW Leadership Team to align priorities and facilitate internal communications.Provide proactive, anticipatory support to the COO and other senior stakeholders as required.What you'll bringStrong understanding of business operations, planning cycles, and strategic coordination.Proven experience in a Personal Assistant, Executive Assistant, or Business Support role—ideally supporting senior leaders in a complex organisation.Confidence working in a large, matrixed environment with multiple stakeholders.Advanced skills in Microsoft Office (Outlook, Excel, PowerPoint) and ability to craft polished presentations and reports.Exceptional organisational skills and attention to detail; proactive, with strong initiative.Strong interpersonal skills and the ability to build trust with senior stakeholders; professional discretion and calm under pressure.Experience with travel booking systems, invoice processing, and expense reconciliation.Flexible, adaptable, and able to thrive in a changing environment.Benefits4 weeks standard holiday + 5 days of wellbeing leave; additional purchased leave options up to 4 weeks per year.Banking benefits, insurance discounts and superannuation scheme.Career growth—internal capability programmes that recognise star performers.Generous parental leave with top-up government paid parental leave.School holiday subsidy to support work-life balance.2 volunteer days per year.About WestpacAt Westpac, we're building a fairer, stronger New Zealand.
