Job Description
We are currently looking for a Bookings Coordinator to be part of our dedicated Customer Service team on an 18‑month fixed‑term basis. The role is the face of NPDL, working closely with all functions to ensure the smooth processing of import and export services.
What you will be doing :
- Developing and maintaining collaborative partnerships with internal and external stakeholders.
- Preparing documentation including bookings, container releases and reports to third‑party vessel operators.
- Managing the end‑to‑end process for coastal shipments and interisland bookings.
- Ensuring shippers SLI have been sent to e‑Docs and that the bookings match.
- Ensuring bookings are correctly auto‑rated prior to handing over to the Documentation team.
- Attending sales calls with key account clients as per call plan.
- Creating and submitting CBF and Customs Outward Cargo Report as needed.
- For key customers, arranging empty container truck‑outs and full‑in.
- Sending accurate and timely preliminary load list and final load list to vessel planners.
- Reconciling load lists after vessel sailings and providing finalised lists to export.
- Managing Cargo Readiness – ensuring approvals (DG and BBK OOG) are received, empty containers are uplifted, and cargo is in port for loading.
- Arranging late receivals.
- Ensuring all outbound manifests are processed in a timely manner to meet KPIs.
- Reconciling and matching completed load lists against final manifests after vessel sailings.
- Ensuring all key account documentation is received, correctly processed and invoiced.
- Checking that all exports have CEDOS lodged prior to vessel cut‑off.
- Coordinating and submitting the Customs Outward Cargo Report per vessel voyage.
- Handling general inquiries from customers.
- Other duties as required.
Qualifications
3 to 5 years of shipping / freight experience in a similar position.Proficiency with CargoWise.Team player with a positive, customer‑centric attitude.Exceptional communication skills, both verbal and written.Intermediate proficiency with Microsoft Office Suite.Effective time management and planning skills.Benefits
