With the continuous growth of our Retail Operations, our dealership in New Lynn and Takanini. We are now looking for an experienced Secretary to join our team to provide support to the Company Director. It is a full-time role where you will be guranteed 30hrs work per week which may go upto 40 hrs per week. The pay would be $30-$35 per hour depending upon the experience.
We are seeking a highly motivated individual who thrives in a dynamic and varied environment. Your ability to excel in a full-time role, with the flexibility to extend your efforts when needed, will be crucial in maintaining operational efficiency.
You will either :
A minimum of two years of relevant experience or
A relevant level 4 qualification or higher.
Your aptitude for quick thinking and maintaining focus during high-pressure situations will be instrumental in ensuring the seamless execution of tasks. The ideal candidate for this role will have industry-based experience and hold a relevant qualification.
In this role, you will be performing the following job and duties :
Working closely with other staff to organise meetings, coordinate schedules, and share or gather important information as needed
Drafting and preparing reports, internal memos, and business correspondence, as well as reviewing documents to ensure they're free from spelling and grammar errors
Managing the company calendar — including scheduling appointments, setting reminders, and arranging travel and accommodation for staff when required
Handling day-to-day administrative tasks such as sorting and sending mail, organising files, and maintaining accurate records and documentation
Answering phone calls, responding to general enquiries, and directing calls or messages to the right person
Typing up letters, notes, or documents as dictated by management or team members
Welcoming visitors, understanding the purpose of their visit, and ensuring they’re directed to the appropriate person or department
Supporting the implementation of management decisions and ensuring meeting minutes or outcomes are properly recorded and followed up
Assisting with basic bookkeeping tasks, such as handling petty cash or recording small financial transactions
This is a demanding role that requires a high level of flexibility, including the ability to work nights, weekends, and public holidays as needed.
