Job description

About this role

We are looking for two Executive Assistants, each supporting two General Managers in our Curriculum team. Reporting to the two General Managers, this role will suit someone who is motivated by ownership and is accountable across a range of key functions and processes.

As an experienced EA, you will take full control of busy diaries, schedule all meetings and ensure both GMs are in the right place at the right time with everything needed to achieve results. The ideal candidates will be passionate about making a difference, be flexible to adapt to changing work volumes, and communicate effectively and clearly with stakeholders to understand what they need.

Key to your success will be your ability to maintain oversight of all internal and external updates by managing emails, creating business correspondence and minutes, undertaking governance and secretariat support, and ensuring things flow seamlessly. This role will require you to anticipate needs and be flexible to change your day at a moment’s notice as you respond to a range of events both big and small.

Your confidence with the MS Office suite and excellent technical aptitude will also help you in this role.

Salary range

$74,815 – $90,347 per annum + 3% KiwiSaver. The successful candidate will be appointed at a salary which reflects individual skills and experience.

About you

The successful applicant will be confident in their approach and not afraid to make decisions in their manager’s absence. They will use good foresight and discretion and support a range of duties and decisions.

A high level of planning, organisation and attention to detail is a must. Commitment to customer service and maximising performance is vital for this position.

  • Highly developed verbal and written communication.
  • Exceptional level of planning and organisation skills with strong attention to detail.
  • Ability to competently juggle multiple tasks and manage competing priorities within tight time constraints.
  • Collaborative relationship building skills with exemplary customer service skills when dealing with stakeholders.
  • High levels of initiative and a proactive working style, with an eye on continuous improvement.
  • Composure and resilience combined with a flexible can‑do attitude.
  • Sharp eye for detail and a high level of accuracy.
  • Willingness to adhere to the Public Service Standards of Integrity and Conduct.

This role will suit a highly energetic, sharp‑thinking and naturally skilled Executive Assistant who knows how to add value from day one. Working within a fast‑paced environment, experience supporting Tier 3 Senior Managers and the ability to be the 'pivot support' for the wider team will be a bonus.
