Mō te tūnga | About the role

We’re looking for an Executive Assistant to support our Council and Executive Team. This is a pivotal role where you’ll be responsible for ensuring meetings run smoothly, records are meticulously managed, and communication flows seamlessly. This role is part time working 0.5 FTE.

You will be responsible for

  • Coordinate and document Council and committee meetings, including preparing agendas, distributing materials, and recording minutes.
  • Manage corporate records and ensure compliance with legal and regulatory requirements.
  • Advise on governance best practice, support Council member induction and development, and help shape our policies.
  • Facilitate clear, professional communication between the Council, Chief Executive, Executive Team, and external stakeholders.

About you

The ideal candidate will have;

  • Knowledge of general administrative processes.
  • Demonstrated effective customer focus skills.
  • Demonstrated and effective organisation skills with the ability to manage workflow pressures and repetitive tasks.
  • StrongComputer skills : anunderstanding of database and spreadsheet functions, intermediate to advanced user of Microsoft Word, Excel, Outlook.
  • Accuracy and attention to detail.
  • Commitment to working in a team environment as a team member and developing effective working relationships.
  • Ability to work both as a team member and independently.
