The Opportunity

The Events Coordinator provides hands-on support in the planning and delivery of ecoPortal’s sponsored and community events. Working closely with the Events Operations Specialist, Events Manager, and the wider Marketing team, this role helps ensure events are well-organised, engaging, and run smoothly from start to finish.

By assisting with logistics, vendor coordination, communications, and on-the-day event support, the Events Coordinator plays an important role in strengthening ecoPortal’s brand presence and community engagement.

Key responsibilities

  • Support the planning and coordination of sponsored events, including trade shows, conferences, customer forums, dinners and networking sessions.
  • Assist with event logistics such as vendor liaison, swag and prizes, activations, travel bookings, and equipment coordination.
  • Help prepare pre-event briefings, run sheets, and checklists to ensure all details are covered.
  • Work with the Events Manager and Events Operations Specialist to research and maintain a calendar of relevant industry events in target regions.
  • Provide on-the-day support with setup, engagement, trouble shooting and pack-down.
  • Assist with post-event tasks including collecting feedback and surveys, attendee data, and supporting the creation of event debriefs.
  • Collaborate with the Sales team on event follow up and attendee communications.
  • Coordinate with the content and creative team to ensure branding, signage, and collateral are delivered on time.
  • Help track key event details and deliverables such as attendance, engagement, and lead capture.
  • Contribute to building strong relationships with wider ecoPortal team stakeholders, customers, partners, and event stakeholders by providing professional and friendly support.

Ideal Qualifications & Experience

  • A Bachelor's degree in a suitable field (this may include, but is not limited to these majors and areas of study) - Business, Marketing, Management, Communications.
  • Strong organisational skills with excellent attention to detail.
  • Clear and confident communication skills, both written and verbal.
  • Ability to manage multiple priorities and adapt quickly in a fast-paced environment.
  • A proactive, can-do attitude with a willingness to take initiative.
  • Team player with strong interpersonal skills and a customer-first approach.
  • Previous experience in events, customer service, or marketing is an advantage.
  • Comfortable using Google Workspace (Sheets and docs) and familiarity with marketing tools like Trello and Hubspot a bonus.
