Project Coordinator - Consent Planning Team at Auckland Transport
We’re looking for a Project Coordinator to assist our Consent Planning team in the Property Planning and Place Group, Infrastructure and Place Division. This permanent role offers the opportunity to contribute to AT's strategic goals and support large and small-scale transport infrastructure projects to meet Auckland's needs now and in the future. The Consent Planning team delivers consenting to enable projects to be completed on time, on brief and within budget.
Responsibilities
- Monitor, screen and prioritise meetings and invites to fit workload, reviews and deadlines
- Coordinate meetings including preparation of minutes as appropriate
- Raise purchase orders, pay invoices, and research background of historical invoices to determine the relevant budget owner
- Support and coordinate reports and approval chains, ensuring compliance with organisational requirements
- Manage reviews of delegated reports for the Consent Planning Manager and General Manager Property, Planning & Place; file delegated decisions and manage documents
- Keep managers fully informed on priority issues
- Coordinate events, activities and projects within the team as required
- Collaborate with other admins, Pas and Project Coordinators to balance workload
- Act as a reliable resource for administrative queries and ensure smooth execution of tasks that enable the team to focus on strategic priorities
About You / Qualifications
Minimum 5-6 years' experience in project / coordination / professional services administration or programme management office environmentsTertiary diploma qualification in Office Business Administration or a similar relevant discipline is preferredDesirable experience with databases and information management systems (e.g., SAP, SharePoint)Our Organisation
