What You'll Be Doing
You'll oversee Executive Assistants, Recruitment, Finance, Events, IT, and Admin teams, ensuring all operations are smooth, aligned, and high-performing.
You'll work closely with leadership to solve problems, streamline processes, and support departments in achieving their goals.
You will :
Lead and mentor department leads across EAs, Recruitment, Finance, Events, IT, and Admin, ensuring clarity, accountability, and operational excellence
Facilitate regular check-ins with teams to identify workflow blockers or resourcing gaps
Develop, maintain, and enforce SOPs and workflow documentation across all functional areas
Oversee company-wide project management systems (ClickUp, HubSpot, or equivalent) and ensure adoption across teams
Manage strategic projects, tracking milestones, responsibilities, and deadlines to ensure =90% on-time delivery
Troubleshoot operational issues proactively and implement mitigation strategies
Maintain dashboards and KPIs to track team performance, productivity, and operational outcomes
Facilitate cross-functional communication to ensure alignment and collaboration across all departments
Partner with senior leadership to scope and execute strategic initiatives, special projects, and process improvements
Introduce workflow, system, and IT infrastructure enhancements to increase efficiency, reduce errors, and standardise practices
Who You Are
You're a proactive, highly organised operations leader who thrives on operational excellence.
You can see the big picture while managing the smallest details, and you know how to translate strategy into smooth execution.
You bring :
Proven experience managing multiple operational teams, ideally including administrative, recruitment, finance, events, IT, and EA functions
Strong team leadership skills, coaching capability, and experience resolving workflow issues
Expertise in system and process optimisation, driving adoption of tools and continuous improvement
Project ownership experience, delivering complex initiatives on time and within scope
Excellent internal communication skills, enabling cross-functional clarity and alignment
Strong data literacy and experience tracking KPIs to drive operational performance
Ability to manage strategic initiatives and pilot innovative projects with minimal oversight
Comfort with project management, workflow, and IT systems (ClickUp, Asana, Notion, HubSpot, and IT infrastructure tools)
High attention to detail without losing sight of strategic goals
Adaptable, calm under pressure, and solution-focused
A sense of humour, team spirit, and passion for continuous improvement
