Job description

We are seeking a reliable and detail-oriented Administrative Assistant to join our team at our Manukau (Auckland) office.

This role is ideal for someone who enjoys supporting management teams, handling diverse administrative duties, detail oriented, efficient with numbers and documenting and helping maintain smooth daily operations within a high pace environment.

Key Responsibilities

  • Assist management team with day-to-day administrative and operational tasks.
  • Manage general office operations, including coordination of office supplies and facilities.
  • Monitor and manage incoming and outgoing company emails and correspondence.
  • Handle document control – filing, organising, and maintaining company records.
  • Support financial administration, including reconciliation of monthly bills, invoices, statements, and other expenses / incomes.
  • Track and coordinate job-related documents in collaboration with the workshop team.
  • Assist with special projects, including documentation and organisational tasks.
  • Prepare and update reports as requested by management.

Skills & Qualifications

  • At least NZQF Level 2 or 3 relevant qualification or minimum 1 year of relevant experience.
  • Mandarin language skills are preferred but not required due to operational and internal communication.
  • Previous experience with or qualification in Xero Accounting System – preferred but not required.
  • Strong computer literacy (Microsoft Office Suite, Excel, and Gmail systems).
  • Excellent organisational and communication skills.
  • Ability to work efficiently under high pressure and manage multiple tasks in a fast-paced environment.
  • Positive attitude, proactive mindset, and team-oriented approach.
  • Driver's license required
