Reception and Facilities
- Maintain a tidy, professional and presentable reception area and communal event spaces.
- Provide occasional coverage for the reception desk, greeting visitors, clients, and members with a professional and friendly demeanor.
- Assist with visitor check‑in procedures (e.g. direct visitors from Building Lobby Level 1), visitor access passes and coordinate with building management, and maintain visitor logs upon request by business units.
- Receive and sort mails and daily deliveries.
- Open and close DAX showcases daily (switch on / off).
- Prepare infused water as needed (usually daily).
- Manage pantry inventory and order fresh fruits weekly.
- Water edible garden plants daily (twice a day), if required.
- Perform occupancy checks and update the heat map on a daily basis.
- Check room and area readiness, ensuring all stationery is in order.
- Track office supplies (stationery, pantry, first aid) and notify facilities management of items that need reordering.
- Coordinate scheduling of meeting rooms and calendars.
Logistical & On‑site Event Assistance
Work directly with the Event Executive to prepare for events, including organizing materials, setting up and dismantling event spaces (furniture, AV equipment, decor, catering setups).Manage guest registration and check‑in processes, providing a warm and efficient welcome to attendees.Act as a point of contact for event attendees, assisting with inquiries to ensure a positive experience.Serve as first point of contact for early vendor / organizer arrivals, assisting with coordination of catering deliveries, setup, and breakdown during events.Monitor event activities, proactively addressing minor issues or escalating to the Event Executive as needed.Manage issuance of complimentary carpark tickets.Reconfigure seating arrangements for events as required.Help with post‑event breakdown and ensuring the space is returned to its original condition.Administrative Event Support & Community Engagement
Assist in maintaining event calendars and tracking RSVPs.Support the creation of event signage, name tags, and welcome packets.Help with vendor coordination, including confirming deliveries and schedules.Conduct post‑event follow‑up tasks, such as organizing feedback forms or assisting with data entry.Help foster a welcoming and engaging atmosphere during events.Be knowledgeable about our space and offerings to answer attendee questions.Reporting
