Overview
Hardie Pacific is a small but dynamic company based in Dunedin, New Zealand, with exciting projects underway in greenfield mineral exploration.
We are hiring a dedicated and organised Office Manager / Administrator to help us maintain smooth and efficient office operations at all times.
This role requires a proactive and organized individual who can support our team of six full time Geologists, support staff and other casual field workers.
This is a diverse role requiring someone willing to roll their sleeves up and be involved in all aspects of the business while managing multiple tasks.
Responsibilities
Administrative Management : Oversee daily office operations, including managing office supplies, equipment, and facilities.
Bookkeeping : Pay weekly invoices, issue monthly invoices, and manage weekly cash flow reporting.
Financial Management : Assist with budgeting and external accountants with payroll.
Travel Management : Compile itineraries, book flights, accommodation, and other travel arrangements for staff and management.
Communication : Serve as the primary point of contact for internal and external communications, including handling phone calls, emails, reporting and correspondence.
Record Keeping : Maintain accurate records, including employee files, financial documents, and other information.
Project and Geological Support : Assist exploration projects by coordinating with project managers, contractors, and stakeholders (including Land Access Agreements).
Support geological data management, reporting, samples, and field or lab activities (training will be provided for this).
Contractors : Proactively oversee external contractors, obtain and manage quotes with service providers to ensure that the best possible value and quality is achieved.
Process and Office Improvement : Identify opportunities to improve office processes and assist with administrative tasks.
Property : Oversee group property maintenance and upgrades, ensuring all projects adhere to budget and timelines.
Compliance : Assist the team with onsite Health and Safety requirements as needed.
Qualifications / Key skills
A solid track record and experience in office management is required, preferably in the mining and / or industrial sector.
Demonstrated understanding of New Zealand company accounting and bookkeeping standards is needed, including office systems and procedures, workplace health and safety legislation, business compliance obligations, and relevant regulatory frameworks.
Detail oriented and proactive, with the capacity to work both independently as well as part of a small team.
Strong problem-solving skills with the ability to maintain a positive attitude and initiative under pressure.
Strong organisational, communication, and interpersonal skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams, Outlook), G Suite, and Xero are required.
Prior experience working in a small office team environment is highly desired.
Working Hours
Full-time or part-time (minimum 24 hours per week).
Flexible part-time arrangements may be considered for the right candidate (i.e around school hours), provided the role can be effectively managed.
