Overview
The role will provide a diverse scope of services for Singapore office including office administration, workplace and facility management support in accordance with HSEQ standards and corporate governance.
Responsibilities
MAIN RESPONSIBILITIES
Administration
Manage the day-to-day running of administration support for office operations such as corp pass administration, onboarding and offboarding processing
Review, recommend and implement measures to streamline administrative procedures to improve efficiency
Manage the registration / renewal of Company's Professional Engineer license, Professional Architect license, other corporate licensing, memberships, magazines and publications
Manage the application / renewal / termination and maintain list of Netrust users, individual Professional Engineer / Professional Architect / Qualified Person
Manage the renewal of Company's Professional Indemnity Insurance, Public Liability Insurance and Property All Risks Insurance
Support procurement processes
Manage staff travel and hotel booking and corporate rates
Prepare and provide reports on assigned areas (e.g. office resource usage statistics, memberships, licensing)
Maintain Canopy webpage
Other ad hoc admin duties when needs arise
Real Estate and Facility management
Key contact for building management relating to office / building emergencies
Maintain office assets, properties and equipment, such as air purifiers, photocopiers, fax machines, plotters, printers, furniture and water dispensers
Liaise with internal and external parties for the maintenance of office facilities, such as lighting, air-conditioning systems, telephone lines, power supply, pest control, etc which may require supervision during weekends or after-office hours
Manage all agreements and documentation pertaining to real estate and facility management
Review and renewal of office equipment leases and maintenance contract (i.e. fire extinguisher, AED devices, pest control, air-conditioning systems, cleaning services) and all other contract-related matters
Ensure provision of safety equipment, including personal protective equipment (PPE) is available
Provide facilities management and support to Company's staff engagement committee
Assist and provide support for Company's initiative such GHG Emission Reduction Plan and tracking of the GHG data
Qualifications
Minimum Diploma in any discipline
Minimum 5 years of relevant experience
Meticulous, independent with minimal supervision
Good communication and people skills
Positive attitude and resourceful
Excellent multi-tasking ability and IT savvy
Able to work well in a team
