The Mechanobiology Institute (MBI) at the National University of Singapore (NUS) is a leading multi‑disciplinary institute devoted to developing new paradigms for understanding biological functions in health and diseases from the perspective of cell, tissue and organ mechanics / dynamics and mechano‑signal transduction. The institute operates on a fully integrated open‑lab philosophy, with an extensive infrastructure supported by core facilities dedicated to technology such as state‑of‑the‑art light microscopy, nano‑ and micro‑fabrication, and computing.
We are looking for an enthusiastic individual to support our administrative team in managing and overseeing communications for the institute and general administration of MBI events, including outreach visits and conferences.
Responsibilities
Communications
- Manage and coordinate MBI internal and external communications, including but not limited to email dissemination, website updates, and social media.
- Maintain and update mailing lists.
- Update and maintain event listings on the MBI website and other platforms as required.
- Organise, schedule, and oversee logistics of regularly scheduled MBI events, such as seminars, invited talks, and outreach visits.
- Monitor and manage inventory of outreach materials, organise events catering, and liaise with vendors for procurement, production and timely delivery of requisitions.
Events
Assist the MBI conference secretariat in the organisation of MBI conferences or symposiums. These events may be local, overseas, and online.Administration and Data Management
Provide day‑to‑day administrative support including meeting logistics, room bookings, file management, and archiving.Research and coordinate travel arrangements for overseas speakers, including bookings and itinerary planning.Procurement and Finance
Track and report budgets, commitments, expenditures and payments timely and accurately.Manage the team's procurement, purchasing, claims, and payment of goods and services in compliance with university policies and procedures.Qualifications
Bachelor's degree from a reputable university; diploma holders are also welcome to apply.Proficient in Microsoft Office applications. IT skills in managing communications and events will be advantageous.Familiarity with social media applications, Canva or Adobe Photoshop.Excellent organization and time management skills, with the ability to work within tight deadlines.Excellent attention to detail.Service‑oriented, meticulous, with a willingness to learn, and a team player.Possesses a pleasant and outgoing disposition with good written and verbal communication skills to engage with internal and external stakeholders.More Information
