About the Role
We are seeking a detail-oriented and compassionate Administrator to join our Gateway Assessment Service at The Child & FamilySafety Service - Tiaki Whánau.
In this vital role, you'll play a key part in supporting patient access to healthcare services by coordinating the preparation of multidisciplinary reports, managing bookings, and ensuring smooth clinical workflows in alignment with Health New Zealand (Te Whatu Ora) and OrangaTamariki guidelines.
Your main focus will be transcription and administrative support, ensuring timely, accurate and confidential documentation that contributes to safe, high-quality care for tamariki and their whanau.
As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 4 / Profile 4 Step 1 to 3 (final placement step is dependent on skills, knowledge and experience)

Perform transcription duties with accuracy and confidentiality, ensuring all dictated letters and reports are completed within required timeframes.Collaborate with clinical and administrative teams to ensure patients receive timely access to care.Support the smooth running of outpatient clinics by managing patient arrivals and departures.Maintain accurate and up-to-date records in the Patient Management System (SI PICS) and associated databases.Ensure booking processes meet Health New Zealand and Ministry of Health standards, following business rules and timelines.Communicate clearly and professionally with clinicians, patients and whanau, maintaining confidentiality at all times.Contribute to continuous improvement by identifying and implementing more efficient administrative processes.
About you
Essential Skills and Experience
Excellent customer service and communication skills.Proven experience using data systems and Microsoft Office (Word, Outlook, Excel).
Exceptional accuracy, attention to detail and typing skills
Strong organisational and problem-solving abilities.Ability to work independently while contributing to a team environment.High standard of written and verbal communication.Administrative experience in a healthcare or clinical setting.Knowledge of medical terminology and familiarity with public hospital systems.Awareness and respect for cultural diversity, particularly Maori and Pacific communities.
