We are seeking an experienced and highly motivated Senior Clinic Administrator to oversee the operational heartbeat of Better Health Osteopathy . This pivotal role combines leadership, precision, and warmth, ensuring the smooth, efficient running of our clinic while maintaining the highest standards of patient care.
You’ll be responsible for managing day-to-day operations, overseeing administrative systems, supporting our osteopaths, rebooking patients, managing rosters, handling payments, and driving clinic growth. Marketing and social media experience will be highly regarded.

Work Hours : Monday–Friday, 8 : 00 a.m. – 4 : 00 p.m.
What You’ll Do
Lead and manage daily clinic operations with professionalism, efficiency, and care.
Be the welcoming face and trusted voice of the clinic, ensuring every patient interaction reflects our values of compassion and excellence.
Manage all patient bookings and records via Cliniko, including proactive rebooking and schedule management.
Manage and process ACC claims ensuring accuracy and timely submission.
Manage staff rosters and assist with onboarding new staff
Oversee invoicing, payments, and follow-up on outstanding accounts with accuracy. Experience in Xero accounting package would be great.
Support marketing initiatives, assisting with social media, patient communications, and community engagement to help the clinic grow.
Liaise with accountants on finance and tax matters; ensure record-keeping meets compliance standards.
Maintain clinic presentation and stock levels, ensuring a clean, organised, and professional environment.
Contribute to product sales and patient education to enhance treatment outcomes and patient satisfaction.
Provide direct administrative support to the Clinic Director and osteopathic team.
Skills & Experience Required
Minimum 3 years’ experience in a clinic, healthcare, or professional office administration role.
Excellent organisational and time management skills, with the ability to prioritise and multitask effectively
Exceptional customer service and interpersonal skills, with warmth and professionalism in every interaction.
Strong IT proficiency — confident with Microsoft Word, Excel, and ideally Cliniko.
Excellent written and verbal communication skills.
Demonstrated leadership capability, fostering collaboration and accountability within the team.
Strong attention to detail, problem-solving, and decision-making skills.
A genuine interest in health and patient wellbeing.
Understanding of ACC claims and to lodge and manage these.
Understanding of confidentiality and privacy obligations in a medical setting.
