Executive Business Coordinator (12 month fixed term)

ABOUT THE ROLE
Key Responsibilities include :
Advanced Diary and Calendar Management - Expertly manages complex, dynamic calendars, prioritizing meetings, travel, and deadlines to maximize the Executive's effectiveness and minimize scheduling conflicts.Co-ordinating Travel - Advanced understanding of travel management and using travel platforms as well as NZ domestic flights.Email triage - distributing or delegate where necessary. Allocate time in diaries for specific tasks following from emails.Follow up, collating and proof reading of Board and other reporting Papers - ensuring Papers are delivered on time, complying to template standards, and a high level of presentation and accuracy. This is a major part of the role ensuring Executive time is freed up.Project Support - Provide project support, following up deadlines and stakeholders as well as collating presentations timeously and editing to a high standard.Event support - with various events continuously around the country you will provide support in collating diaries with other execs and board members, working alongside our events team.Key skills you'll need to be successful in this role :

Ensures information flows smoothly and relationships are nurtured.Composure Under Pressure and Competing Priorities - Thrives in high-pressure environments, adeptly juggling multiple priorities and deadlines. Maintains professionalism and focus, even when demands are intense or shifting rapidly.ABOUT YOU
You have a track record supporting C-suite or senior executives (minimum 3 years supporting Executive / General Manager level). You have a deep understanding of executive priorities, confidentiality, and the fast-paced demands of transformation leadership.You anticipate needs, see solutions where others see obstacles, and always have a plan. You're able to cut through complexity and guide others toward clarity and action.You don't wait to be asked—you offer help, seek out ways to add value, and take initiative.
