THE OPPORTUNITY

We’re looking for an organised and detail oriented professional to join our Executive team. The role is responsible for providing admin support to our Board of Directors, preparing meeting materials, taking minutes and maintaining Board records. Coordinating Board committee meetings as well as getting involved in some key projects. ABOUT YOU What you’re responsible for

  • Preparing & uploading Board Papers into Diligent, an electronic Board Pack application
  • Maintaining statutory documents and the Company Share & Company Directors Register
  • Assist with legislative compliance obligations and ensure internal Governance Process is maintained
  • Maintain Shareholder enquiries and correspondence
  • Board and Committee meetings and preparation
  • Finalise and register updated company policies
  • Taking of Board and Committee minutes
  • Maintain an action list of the Board matters to be addressed
  • Arrange and prepare materials for Annual General Meetings
  • Schedule, and coordinate Executive Team meetings
  • Prepare and distribute meeting agendas and discussion papers
  • Tracking action and agendas for the Executive Team
  • Collating and formatting of documentation such as RFP’s, decision papers and company documents
  • Assist with travel, catering and event arrangements

Your skills & experience

  • You will have a collaborative working style yet be able to stand on your own two feet
  • You will be a doer, capable of speedily delivering high volumes of quality work, yet also be agile and able respond to incoming requests
  • You will be curious, and keen to learn more, and constantly looking at ways to improve process
  • You will use your initiative to proactively assist with workloads and tasks
  • You will have a strong attention to detail, process, governance and great at problem solving
  • You will have excellent knowledge of Microsoft applications, online Board tools and document management systems
  • You will embrace a paperless environment and digital tools
  • You will be customer focused with excellent relationship management skills
  • You will be a strong communicator both written and verbal and be a great gatekeeper
  • You will have energy to keep pace with a highly motived and busy Executive Team
  • You will be flexible in your availability and working style to suit the business requirements
