Senior Project Coordinator
Permanent full time role with a Ministry that makes a difference in people's lives.
Located opposite Wellington train station.
Te Tuapapa Kura Kainga - The Ministry of Housing and Urban Development (HUD) leads New Zealand's housing and urban development work programme.
About the role
As Senior Project Coordinator you will support the delivery of priority programmes and projects; and governance, business planning, risk management and assurance activity for the organisation.
Your role will be in HUD's Governance, Planning and Programmes team, which manages enterprise portfolio governance, risk, assurance and planning functions, and provides tailored programme and project management support to HUD's teams.
You will work closely with other team members and provide support across these organisational and project activities.
Responsibilities
Organising and supporting meetings, including managing logistics, preparing agendas, papers and related materials; capturing meeting minutes and actions for internal and external audiences
Providing administrative support to programme and project activity, following best practice methodology
Managing project plans, risks, issues and decision logs
Taking minutes at governance meetings and following up on actions
Coordinating the updating of documentation as per the reporting cycle (budget vs actuals, status reporting, risks and issue logging, etc), ensuring systems, registers, policies and processes are up to date and appropriately filed
Identifying opportunities to improve business processes across the team's functions
Preparing documentation for internal and external audiences
Coordinating information and data for internal and external reporting – including collecting, compiling, and presenting data on programme activities
Being a first point of contact by managing shared email inboxes
Sharing information across teams to support the seamless flow of activities
About you

Ideally Your Skills And Experience Will Include
Understanding of complex work environments, preferably in a public sector or outcome-based business or organisation
Proven experience of programme or project co-ordination of complex, large scale or multiple projects dealing with internal and external stakeholders
Proven ability to write memos, prepare reports and other documentation
Strong administrative skills and experience
Strong attention to detail and robust time management skills with a positive can-do attitude
High level of integrity, confidentiality, and problem-solving skills
Experienced and comfortable with Microsoft Suite of products, including Excel, Visio, Project and Planner
