About the Role
We are seeking a highly organised and proactive professional to join our team in a multifaceted role. This position combines Executive Assistance, office management, and legal executive / contracts responsibilities, offering variety and scope for someone who thrives in a dynamic environment. You will report directly to the Chief Operating Officer (COO) and work closely with colleagues and clients internationally.
Key Responsibilities
Executive Assistant Duties
- Provide high-level administrative support to senior leadership.
- Manage calendars, schedule meetings, and organise travel arrangements.
- Prepare reports, presentations, and correspondence.
- Handle confidential information with discretion.
- Other administrative tasks as required.
Contracts Advisor Duties
Review legal documents and contracts, identifying areas for further review, negotiation or legal advice.Assist with compliance and regulatory requirements across multiple jurisdictions.Liaise with clients, legal counsel, and external stakeholders.Maintain accurate legal records and case files.Office Management
Oversee day-to-day office operations for the Dunedin office, ensuring a smooth and efficient workflow.Manage office supplies, equipment, and vendor relationships.Coordinate internal communications and maintain organisational systems.Assist with operational needs for our Canadian and Australian offices.Skills & Qualifications

Proven experience in executive support and office administration.A Legal Executive qualification or relevant experience reviewing contracts and legal documents in a commercial environment.Strong organisational and multitasking skills.Excellent written and verbal communication skills.Strong analytical skills with high attention to detail, with an eye for identifying risks and errors, and points for further review.Proficiency in Microsoft Office Suite and document management systems.The ability to work independently and as part of a global team.What We Offer
