About the role :
This newly created position is designed to support Endoscopy Auckland’s ongoing growth. The role has a dual focus : you’ll coordinate and manage service pathways for ACC and publicly funded patients, and you’ll also support specialist onboarding and scheduling. As the first point of contact for our specialists and patients, you’ll ensure every interaction is welcoming and every process is seamless. Your proactive approach and attention to detail will help maintain high standards and smooth operations across our team.
Key responsibilities :
Lead the set-up and coordination of ACC Surgical Services Agreement processes
Coordinate onboarding of new specialists and clinic set-up
Act as the primary receptionist / bookings coordinator for assigned specialists
Manage referral intake, triage, eligibility verification, and outcome communication
Lise with ACC providers and case managers
Support patient scheduling, theatre coordination, and administrative follow-up
Establish workflows for publicly funded patient bookings
Support standardised claiming processes and monitor claim status
Model Endoscopy Auckland’s values in all interactions
About you :
You are a warm and approachable professional who thrives on building strong relationships with patients, specialists, and colleagues. Your natural efficiency and confidence mean you can juggle multiple priorities with ease, always keeping a calm and positive attitude. You enjoy solving problems, taking initiative, and making a real difference in people’s experiences. Experience in medical administration or as a medical secretary is essential, ideally with knowledge of ACC and publicly funded contract pathways. Familiarity with private insurers is highly valued. Strong communication skills and a collaborative approach are a must.
