About the Role

The Controlled Documents Coordinator works as a member of the Governance team and is responsible for providing coordination, guidance, education and support to staff developing controlled documents.

The Controlled Documents Coordinator provides a professional and efficient administration support with a focus on document control systems and processes. The salary range for this role is $75,201 to $83,092 pro-rated to 24 hours per week. Some of your duties will include :

  • Load completed controlled documents into the Document Management System, ensuring this is also maintained and improvements implemented
  • Advise and assist staff with policy development, production and / or review
  • Ensure staff are adequately trained on how to access the policy management system
  • Participate in quality improvement activities including audit and hospital certification processes

About you

You will be a change agent who is passionate about discovering the truth to support improving outcomes for staff and consumers. We are looking for someone who enjoys rising to the challenge of solving problems and working collaboratively with others to find solutions. The ideal candidate would have advanced computer literacy and comfortable working independently. A relevant health qualification is advantageous.

Essential qualifications, skills and experience

  • Knowledge of New Zealand Health legislation
  • Knowledge and experience in the administration of health policy requirements, document control systems and health literacy
  • Strong interpersonal skills, builds rapport and relates well with people
  • Effective time management skills and ability to meet delivery of objectives
  • Ability to explain and write about policy processes in simple language and assist
  • Ability to assist staff to clarify and document their policy requirements
  • Ability to pass on concerns while maintaining credibility with staff involved in the policy development or review
  • Ability to maintain relevant paperwork and electronic files in an orderly and auditable fashion
