Job description

We’re looking for an experienced, proactive, and highly organised Board and Executive Support professional to provide exceptional support to our CEO, Board, and Leadership Team. This is a pivotal role for someone who thrives in a dynamic environment, values connection, and wants to make a real difference in their community.

What will you be doing?

As the Board and Executive Support at The Y, you’ll play a vital role in ensuring our executive and governance functions run smoothly and professionally.

Reporting directly to the CEO, you’ll provide high-level executive and administrative support to the CEO, Board of Directors, and Leadership Team - keeping communication clear, processes organised, and meetings running seamlessly.

Your day-to-day work will include :

  • Providing high-level executive and governance support to the CEO, Board, and Leadership Team.
  • Coordinating complex schedules, meetings, and events, including Board and Sub-Committee meetings, AGMs, and leadership team workshops.
  • Preparing agendas, compiling meeting papers, taking accurate minutes, and following up on action items.
  • Supporting smooth governance processes through tools such as BoardPro and Microsoft 365, maintaining accurate documentation and version control.
  • Acting as a trusted liaison across the organisation, ensuring clear and professional communication between the CEO, Board, and wider team.
  • Managing systems, supplies, and administrative processes to ensure an organised, efficient, and welcoming office environment.
  • Preparing reports, correspondence, and presentations with attention to detail and a high standard of quality.
  • Anticipating needs, handling sensitive information with discretion, and helping others stay on top of their priorities in a fast-moving environment.

This is a varied, hands-on role that requires professionalism, initiative, and an eye for detail. Perfect for someone who thrives in a busy, purpose-driven environment.

What experience / skills do you need?

We’re looking for someone who is organised, proactive, and enjoys helping others succeed in a fast-paced environment. You’ll bring professionalism, initiative, and a sense of fun to your work.

You’ll also have :

  • 5+ years’ experience supporting senior executives and / or boards
  • Excellent organisation, time management, and communication skills
  • Proven ability to manage multiple priorities and meet deadlines
  • Strong relationship-building and diplomacy skills
  • High attention to detail and commitment to confidentiality
  • Experience with BoardPro, Microsoft 365, or similar governance systems
  • Familiarity with not-for-profit or community organisations (advantageous)
  • Understanding of privacy compliance and governance processes
