Overview

Join to apply for the Property and Fleet Coordinator role at Department of Conservation (DOC) .

As Property and Fleet Coordinator you will support the smooth coordination and delivery of property and fleet management services across DOC’s regional portfolio. This key position will help ensure business operations, project outcomes, and compliance are met, while liaising with internal and external stakeholders to deliver exceptional service. You will be part of a team of Property and Fleet coordinators spread across Aotearoa.

Responsibilities

  • Coordinate property and fleet activities across the Lower North Island region and other locations as required, in line with national standards, collaborating with site leads and support officers to ensure seamless operations.
  • Provide project support for DOC’s property and fleet portfolio, including regional coordination, assisting with project briefs, financials, schedules, and business cases.
  • Oversee residential tenancy management, including drafting agreements, managing data, and ensuring financial processes and reporting requirements are met.
  • Support the implementation and monitoring of property and fleet systems (including SAP Plant Maintenance, tenancy management, fleet management services and telematics).
  • Administer property and fleet operations regionally, ensuring accurate reporting, documentation, and logistical support.
  • Liaise with internal teams and external suppliers to resolve issues and ensure optimal service delivery across both property and fleet functions.
  • Monitor and report on property and fleet performance, risks, and compliance to support continuous improvement.

Some travel will be required to visit customers across the Lower North Island region (Napier – Wellington, potentially Chatham Islands).

Skills and Experience

  • Understanding of fleet management services, including GPS tracking, servicing portals, fuel card management, and vehicle lease / disposal processes.
  • Expertise in fleet compliance, risk reporting, regional repairs, accident claims management, and CAPEX requests.
  • Strong knowledge of property facilities management, including coordinating schedules and managing contracts across commercial and residential properties.
  • Familiarity with residential tenancy obligations, FBT / PAYE / GST processes, and tenancy data management.
  • Proficient project coordination skills, including risk management, change requests, budget monitoring, and stakeholder engagement.
  • Advanced skills in administrative systems, supplier setup, and invoice coding.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, MS Project).
  • Experience using property and fleet management software, including vehicle onboarding / offboarding, user setup, training, and helpdesk support.
  • Solid understanding of Health & Safety protocols, fleet insurance, NZTA audits, and DOC’s compliance standards.
  • Strong attention to detail with the ability to produce accurate reports and maintain up-to-date data for decision-making.
  • Full NZ Drivers License.

    The salary range for this position is $68,878.00 – $87,265.00 with the starting salary based on relevant skills and experience. Eligibility to work in New Zealand is mandatory. This role may not engage with recruitment agencies.
