Overview
We're looking for a Personal Assistant to support both our Group Manager of Rail and Rapid Transit Infrastructure and our Group Manager of Property, Planning and Place, joining their high-performing and collaborative teams.
This permanent role offers the chance to contribute to Auckland Transport's strategic goals and make a meaningful difference in how Auckland moves.
The PA will provide support and coordination to two Group Managers (and their lead team and wider group as appropriate) within the Infrastructure and Place Directorate — the GM for Rail and Rapid Transit Infrastructure and the GM for Property, Planning and Place.
The GMs are looking for a PA who will be their go-to on a day-to-day basis, coordinating schedules, managing email and correspondence, collaborating with partners and stakeholders, and serving as the go-to person for the GMs and their senior leadership team.
Responsibilities
Diary management for the GMs including monitoring, screening and prioritising of meetings and invites to fit workload and deadlines
Coordination of meetings including preparation of agendas and / or minutes as appropriate
Support and coordination of reports and approval chain (ensuring compliance with organisational requirements)
Touch point for GM's (central liaison), managing access to the GMs' time and ensuring requests are triaged appropriately
Managing our Programme Steering Group Portfolio meeting, setting agenda, coordinating reviews on papers, running meeting (tech-wise), minutes
Co-ordinating board and governance papers ensuring they meet deadlines
Qualifications
Tertiary diploma qualification in Office Business Administration or similar relevant discipline preferred
Relevant experience in high-level personal assistant / administration or executive support role
Desirable experience with databases and information management systems e.g. SAP, SharePoint
