Core Duties
- Ensure all mailbox queries are attended to within stipulated timeline
- Provide cross‑function team coverage
Processing of Claims to Scholars
Process airfare, conference, immigration Health Surcharge (HIS) and scholar gathering claims for various scholar programs within stipulated timelineProcessing of Payments to Universities
Track and process tuition fees to local and overseas universitiesSubmission of scholar listing to universities twice yearly during new scholar intakeMonitoring Management
Disburse thesis / defense allowances to scholarsTrigger and track progress report collection and update late submissions across various scholarship programmesUpdate database with students’ progress, exam results and ensure proper documentation for e‑filingMonitor and verify document submissions in the portalTrack thesis submission and remind scholars to request PhD extensions if neededVerify flight itinerary / invoice for return trips and ensure compliance with funding guidelinesPrepare funding support letters upon requestsProcess and verify trip claims and submissions according to guidelinesRecruitment – Scholarship
Screen and verify applicants to ensure eligibility and completeness of applicationsSchedule and coordinate interviews with first‑round and final‑round interview panelsPrepare and distribute interview materials to panel members and candidatesCollect and assess interview feedback, ensuring accurate data entry into the systemPrepare scholarship offer packages and track acceptance, updating relevant databasesCoordinate pre‑deed signing documents, including verification of supporting materialsManage Deed Signing sessions, ensuring all necessary documentation is prepared and filedUpdate and maintain scholar records, including onboarding and administrative queriesJob Requirement
Diploma Human Resources, Business or relevant disciplineTech‑savvy with good proficiency in Microsoft Office and technology tools (Excel skills such as VLOOKUP and pivot tables are important)Experience with SAP or other leading HR Systems preferablyA good team player, possess a cheerful personality and a positive attitudeMeticulous with details, good communication and interpersonal skillsStrong aptitude to learn quickly, pick up new skills and be adaptableAble to multitask and handle high volume of workAble to maintain confidentiality and sensitivity in the management of workMondays to Thursdays 8 : 30 am to 6 : 00 pm, Fridays 8 : 30 am to 5 : 30 pmNearest MRT – One NorthWe regret to inform, only shortlisted candidates shall be contacted.
