As a Personal Assistant you will need to be able to work collaboratively with the other EA / PA’s across the Mental Health Addiction and Intellectual Disability Service (MHAIDS) District and will :

  • Provide administrative and secretarial support to the Group Manager and Clinical Director - Intellectual Disability Service and relevant service areas as required.
  • Regulate your manager’s daily schedule(s) through diary management and the provision of personal assistance / secretarial services.

This includes the effective management of diary, travel, events, paper and information flow and reception functions, together with other associated services in support of the manager / team.

  • Be expected to have an understanding of the functions within the Service and to keep themselves’ updated with any changes in order to provide an effective support service.
  • Carry out all administrative functions including producing presentations, screening and handling of phone calls / emails and taking direct action where appropriate

The National Intellectual Disability (ID) Service holds a number of contracts funded directly by Ministry of Disabled People.

These contracts are part of a framework of interconnected services for people with an ID. One of the contracts we hold is for services for clients that are placed under the Intellectual Disability (Compulsory Care & Rehabilitation) Act 2003 (IDCC&R).

These services include :

  • Regional ID Secure Services(RIDSS)
  • National Youth ID Service
  • National Individual Service Units (ISU) Manawai
  • Regional Intellectual Disability community Assessment Service
  • Forensic Coordination Service (ID)

This role works closely with other PAs / EAs across the service who are very supportive and do our best to help each other out when we can.

Moū About you

We are looking for someone with proven experience and a track record of success in a similar senior administrative role who has a demonstrated ability to draft executive reports and understand financial analysis.

You will have excellent communications skills and be able to convey ideas both verbally and in writing in an efficient manner.

As well as being a customer service superstar, you will know your way around a computer and have an advanced knowledge of MS Word, MS Excel, graphic packages (PowerPoint / Visio).

The successful candidate will be able to maintain personal and professional integrity, have the ability to make good decisions under pressure and be able to prioritise a very busy workload.

It is important that you can be flexible and respond to workload peaks as well as being available at short notice. Ideally you will have experience in working in the health industry and an understanding of clinical governance, however if you are someone who has strong initiative and is self-motivated then we would still love to hear from you.

The right candidate will also have the following :

  • Be able to pass a Police / MOJ check
  • A relevant qualification is strongly desirable or relevant experience in business administration;
  • Must have a full, current and clean’ driver’s license
  • Is able to project a positive image for the service and managers;
  • Can be trusted implicitly with confidential information.
