Office Administrator – The opportunity
An exciting new opportunity as Office Administrator’s with a wide range of responsibilities to support Waikato Aviation’s office administration activities based at Hamilton Airport.
The Office Administrator will provide effective and timely administrative process support, be able to communicate effectively, and promote safe practice. In addition, the Office Administrator is adept at multi-tasking and able to support a positive work environment.
The Office Administrator’s role comprises three areas.
Office Administration
Be the front person for Waikato Aviation with welcoming all visitors and students. Answering phone calls and process email enquiries in a timely manner, and forwarding enquiries to relevant staff for further actioning.
Ensuring forms and other documentation are readily available for pilot access.
Processing Aero Club membership applications.
Ordering and tracking inventory levels e.g. stationery, supplies for tea and coffee, office supplies.
Maintaining cleanliness of reception and pilot briefing and lounge areas.
Finance Administration
Assisting flight instructors with administrative duties such as binding and printing training documents.
Ensuring building WOF, fire extinguisher certificates, bar licence and insurances are kept up to date.
Collating and processing creditor invoices for approval.
Creating invoicing and managing financial data entry.
Processing payroll for approval.
Managing bank reconciliations.
Processing and keeping track of student fees.
Flight Operations Administration
Administering Aero Club flight bookings including invoicing completed flights.
Dispatching and checking in aircraft.
Editing videos of scenic and aerobatic flights.
About you
The role requires someone who is well organised with a high level of attention to detail, with strong communications and interpersonal skills. We are open to considering a wide range of range of skills that you can apply to this role, but previous office administration experience in anticipating business and client needs and managing daily tasks seamlessly will be highly valued.
The ability to multi-task is critical, as is the ability to prioritise jobs to ensure efficient and effective of operations. Experience with MS Office products is required. And knowledge / experience with Xero and banking systems software would be preferred. Familiarity with NZQA and the Aviation Industry would be highly advantageous.
