- We are seeking a proactive and organised Ward Clerk to join our dedicated team.
In this important role, you will support the ward - s interdisciplinary team to deliver high-quality patient care and ensure the efficient operation of the ward through accurate clerical and administrative support.As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 3 / Profile 3For further information about the administration and clerical pay equity settlement please follow the link below :
Key ResponsibilitiesClerical and Administrative SupportProvide general clerical support to the ward team to a high standardMaintain accurate and up-to-date patient files and recordsManage incoming and outgoing documentation and communications efficientlyRespond to information requests within agreed timeframesArrange appointments and ensure ward documentation standards are metReception and CommunicationProvide a friendly and professional reception service for the wardHandle all telephone and in-person enquiries appropriately and respectfullyAct as a key communication link within the ward, ensuring timely and clear information sharingMaintain high standards of written and verbal communicationTreat staff, patients, and visitors with courtesy and professionalismAdmissions, Discharges and Data ManagementAccurately process documentation for patient admissions, discharges, and deathsEnsure all documents are stored securely and in accordance with medical records standardsUpdate patient and staffing information in relevant computer systemsGenerate reports and complete routine typing tasks with accuracyLiaise with the IT help desk as needed for system issuesQuality and Continuous ImprovementParticipate in ward quality initiatives and improvement programmesObserve and report unsafe work methods or potential risksEngage in learning and development opportunitiesSeek feedback and contribute positively to team cultureAbout YouEssential RequirementsExperience with ward processing and Windows-based systemsCompetence in English at a satisfactory School Certificate level or equivalentWord processing, reception, or office administration experienceExcellent communication skills, both written and verbalAbility to work as part of a team and remain calm under pressureStrong organisational skills and attention to detailFlexible and able to manage multiple tasks effectivelyDesirablePrevious experience in a healthcare or hospital environmentWorking at Health New ZealandHealth New Zealand | Te Whatu Ora is dedicated to ensuring excellent healthcare for the people of New Zealand.We embrace a workforce that is diverse and inclusive so that we are better positioned to understand and service our community
