About the role
We are seeking a highly capable and analytical Business Assistant to provide essential support to our Managing Director and wider team. This role is at the heart of our operations; combining financial acumen, administrative excellence, and technological fluency to keep the business running efficiently across multiple entities.
You will be responsible for supporting all areas of the business; from scheduling, reporting, and documentation to managing financial data, compliance, and cross-company coordination. This is a hands-on, detail-oriented position for someone who thrives in a fast-paced, multi-faceted environment and is passionate about accuracy, process improvement, and innovation.
Key Responsibilities
Financial and administrative support
- Assist with financial tracking, reporting, and reconciliations across multiple entities.
- Manage inter-company transactions and ensure compliance with IRD and tax requirements.
- Liaise with accountants, auditors, and other external partners.
- Prepare financial summaries, cashflow updates, and analytical reports for management review.
- Maintain accurate records and documentation of all business and financial activities.
Operational & executive support
Provide direct administrative and coordination support to the Managing Director.Manage calendars, appointments, and travel arrangements.Support internal communication, meeting preparation, and follow-up documentation.Coordinate projects and deadlines between departments and external partners.Assist in developing and refining operational systems and procedures.Data & reporting
Develop and maintain reporting dashboards, KPI trackers, and analytical summaries.Utilise AI tools and data-driven methods to improve business efficiency and decision-making.Support the team with research, forecasting, and data analysis for strategic initiatives.Office & systems operations
Oversee day-to-day office logistics and ensure smooth operations across both Queenstown locations.Maintain digital and physical filing systems.Support implementation of new software tools and process automation where beneficial.Key skills & attributes
Strong understanding of accounting principles, tax obligations, and IRD compliance.Demonstrated experience managing multi-entity or inter-company transactions .Highly analytical, tech-savvy, and comfortable using AI-driven tools for reporting and automation.Exceptional attention to detail , accuracy, and organisation.Excellent written and verbal communication skills.Ability to multi-task , work independently, and think creatively to solve problems.Discreet, professional, and trustworthy with confidential information.Requirements
Minimum 3 years’ experience in a similar business, financial, or executive support role.Proven track record of working within small-to-medium business environments .Advanced proficiency in Microsoft Office 365, Xero, and modern business tools.Experience using or adapting to AI, automation, or analytics platforms.Reliable references confirming work ethic, professionalism, and integrity.What we offer
