Overview
As Payroll Administrator, you will be the central liaison between multiple business units across New Zealand and our outsourced payroll provider, DataPay. You will ensure the accurate, timely, and compliant delivery of payroll services, acting as the key point of contact for payroll queries, reporting, and process improvements. This role demands exceptional attention to detail, rigorous pre‑processing checks and balances, and a commitment to maintaining high standards of confidentiality and accuracy.
South Link Management Services, part of the South Link Health Group, provides strategic and operational support to organisations improving health outcomes across Aotearoa New Zealand.
This role requires a commitment of up to 0.8 FTE.
Key Responsibilities
- End-to-End Payroll Processing – Manage and oversee fortnightly payroll cycles across all New Zealand business units, ensuring accuracy and compliance with legislation (Holidays Act, Employment Relations Act, Privacy Act, etc.).
- Interim Accountability – Responsible for processing a fortnightly payroll through the in‑house payroll system until the outsourced transition.
- Data Integrity & Pre-Processing Checks – Conduct thorough checks and balances prior to payroll submission, including timesheet validation, master data maintenance, and error identification.
- Reporting – Prepare and reconcile payroll‑related reports, including FTE, leave liabilities, PAYE, KiwiSaver, and other IRD returns.
- Liaison & Support – Serve as the primary link between business units and DataPay, facilitating clear communication, resolving queries, and supporting onboarding / off‑boarding processes.
- Compliance – Ensure all payroll activities comply with New Zealand legislation and organisational policies, including collective agreements and union queries where relevant.
Skills & Experience
Minimum 3–5 years’ experience in end‑to‑end payroll processing within New Zealand, ideally in a multi‑entity or complex organisational environment.Proven experience with payroll systems – DataPay and Jemini preferred.Proven experience working with outsourced payroll providers.Strong technical proficiency with payroll and accounting systems, and advanced Microsoft Excel skills (modelling, reconciliation, data accuracy).Demonstrated ability to manage large payrolls (100+ employees), with high attention to detail and analytical skills.Excellent communication and interpersonal skills, able to build relationships across geographically dispersed teams.High levels of integrity, confidentiality, and discretion.Ability to plan, set priorities, and maintain performance under pressure.Experience with payroll project work an advantage (e.g., system implementations, process improvements).Knowledge of NZ payroll legislation, collective agreements, and union processes.Legally entitled to work in New Zealand.South Link Management Services is committed to equity, diversity, and inclusion, and that means people from all the communities we serve are represented in our Kaimahi / Staff.
