The Accounts Administrator is responsible for the accurate and timely delivery of a wide range of financial administration tasks to support the organisation’s financial operations. This includes managing accounts receivable and payable, processing payroll, maintaining fixed asset records, preparing journals, and managing purchase orders, accruals, and prepayments. The role also encompasses completing bank and credit card reconciliations, preparing tax returns, and assisting with financial reporting. The Accounts Administrator plays a key role in ensuring that financial data is accurate, processes are efficient, and the organisation’s financial obligations are met in compliance with relevant legislation and policies.

About the role
Operating in a fast-paced dynamic environment, you will :
Prepare and issue customer invoices and statements.
Monitor outstanding balances and follow up on overdue accounts.Reconcile accounts receivable and promptly resolve discrepancies.Accounts PayableProcess supplier invoices with accuracy, proper authorisation, and timeliness.
Prepare and schedule payment runs in line with organisational policies.Reconcile supplier statements and address differences or disputes.PayrollPrepare, process, and review payroll in accordance with employment agreements and legislation.
Ensure accurate calculation of PAYE, KiwiSaver, and other deductions.Maintain employee records and provide payroll-related reporting as required.Financial Processing and ReportingPrepare and post journals, accruals, and prepayments for monthly reporting.
Maintain and reconcile the fixed asset register, including depreciation schedules.Complete bank and credit card reconciliations.Assist with month-end and year-end financial reporting processes.Prepare commentary for monthly accounts explaining variances to budget.Provide regular reporting to cost centre owners and Project Managers to track actuals vs. budget.Tax CompliancePrepare and submit tax returns accurately and on time.
Assist with maintaining compliance with accounting standards and tax obligations.Purchase Orders and Procurement SupportRaise and manage purchase orders in accordance with approved budgets and policies.

Minimum of 3 years’ experience in a similar accounting or finance administration role.Demonstrated experience across accounts receivable, accounts payable, and payroll processing.Knowledge of accounting principles and familiarity with month-end and year-end reporting processes.Sound understanding of tax compliance, including GST, PAYE.Proficiency in accounting and payroll software (e.g., Xero, MYOB, or similar), and strong Microsoft Excel skills.Ability to maintain calm demeanor in high stress environments.Ability to work under pressure, plan personal workload effectively, work autonomously and independently as well as part of a team.Ability to develop relationships, collaborate and create trust among a wide range of stakeholders.Dedicated to delivering high-quality service and support to colleagues, suppliers, and clients.Consistently professional, approachable, and responsive in all interactions.What to expect
