Our Hamilton branch is looking for a highly organised, detail-focused Service Administrator to support our busy Service Department. About The Role
As our Service Administrator , you will play a key role in ensuring the smooth, efficient, and accurate operation of the Service Department. You’ll be the first point of contact for customers, assist with job bookings, support technicians with administrative needs, and help maintain compliance across health, safety and environmental requirements.
This position is ideal for someone who is confident, customer‑focused, and has strong administrative experience — ideally within the automotive or heavy transport industry.
Key Responsibilities
Administrative Support
- Assist with customer bookings, collect relevant information, open job cards, and schedule jobs into the planner.
- Obtain outwork pricing when required.
- Complete, enter, and scan repair orders (ROs) into the system, ensuring accurate costing and labour entries.
- Close off simple service ROs or forward complex ROs to the Service Manager for approval.
- Process standard customer invoices and obtain order numbers when needed before sending by post or email.
- Maintain the Technician Time Clock Report and ensure all time is accurately accounted for.
- Produce Technician Daily Attendance Reports each pay cycle and distribute to administration staff.
- Maintain staff leave and callout charts for Service and Parts teams.
- Process workshop creditor invoices and warranty credit notes.
- Complete monthly oil reconciliations and order stock.
- Update lease company logs and prepare weekly spreadsheets as required.
Health, Safety & Environment
Follow all company health and safety procedures.Explain H&S requirements to customers and direct them to the customer lounge when needed.Perform monthly and annual checks of the first aid box and maintain stock levels.Maintain awareness of hazards, report incidents or accidents, and contribute to a safe working environment.Keep a clean, tidy, and safe workspace, with awareness of environmental impacts.Customer Service
Provide professional, friendly, and respectful service to staff and customers.Maintain confidentiality at all times.Answer phones promptly and professionally.Ensure customer needs are met efficiently and effectively.About You
