As an Executive Assistant, you’ll play a pivotal role in ensuring everything runs seamlessly behind the scenes—because when the details are perfect, big things happen.

  • Deliver high-level executive support to the Mayor and Mayoral Office.
  • Manage complex calendars, travel arrangements, and meeting logistics.
  • Optimise administrative systems and processes for maximum efficiency.
  • Act as a trusted liaison, ensuring smooth communication and coordination.

    Qualifications

  • Extensive experience : Minimum 5–7 years as an Executive Assistant at C-suite or executive management level, ideally within central or local government.
  • Exceptional organisational ability : Proactive thinker with strong problem-solving skills, capable of prioritising a varied and demanding workload with minimal supervision.
  • Calm under pressure : Skilled at triaging and managing conflicting priorities while maintaining professionalism and composure.
  • Advanced administrative expertise : In‑depth knowledge of office management procedures, systems, and equipment.
  • Technical proficiency : Highly skilled in Microsoft Office Suite (Word, Excel, PowerPoint) at intermediate to advanced level.
  • Outstanding communication : Professional verbal, written, and interpersonal communication skills across all channels.
  • Tech‑savvy : Comfortable with meeting tools, virtual platforms, and troubleshooting basic technology issues.
  • Discretion and confidentiality : Proven ability to handle sensitive information with the highest level of integrity.
  • Emotional intelligence : Strong self‑awareness, interpersonal skills, and ability to build trusted relationships.
  • Change and improvement mindset : Demonstrated experience in implementing process improvements, particularly through technology.
  • Leadership capability : Ability to model and articulate organisational vision and values.
  • Cultural awareness : Working knowledge of Te Tiriti o Waitangi principles and a basic understanding of Te Reo Māori.
  • Salary

    Circa $80K dependent on skills and experience.
