Job description

Solutions Electrical is a Wellington based electrical company. We are looking for a part‑time admin person, around 25 hours per week to support our established business with the running of the finance and job management systems.

Qualifications

  • Excellent communication skills via email and phone, talking to new and existing clients, communicating with the electricians and other staff.
  • Someone adaptable who is able to work well in a team and also autonomously. There will be times of working solely if Sam director is out during the day.
  • Strong organisational skills, attention to detail and an ability to multitask.
  • Confident technical and computer skills. Key to our business are our job management software systems Xero, simPRO, smartly, Excel spreadsheets. Experience with these or similar management systems is preferred, but can be taught.
  • Experience in the construction industry is advantageous but not a must.

Responsibilities

  • Accounts Payable and Receivable Management : Process incoming and outgoing payments, including invoices, bills, and receipts. Maintain accurate records of all transactions and ensure timely payments to suppliers and vendors. Follow up on outstanding invoices and manage supplier payments.
  • Expense Tracking and Reconciliation : Monitor and reconcile company expenses, including credit card transactions, travel expenses, and parking.
  • Payroll Processing : Using Smartly payroll software.
  • General Ledger Maintenance : Maintain the general ledger, reconciling accounts, and ensuring accuracy of financial records. Assist in month‑end and year‑end closing procedures.
  • Tax Compliance : Assist in tax preparation and filing activities, including sales tax, payroll tax, and income tax. Completed through Xero.
  • Management of customer and supplier database Simpro, entry of new jobs and management of existing.
  • Assist with developing procedures and policies to achieve continuous improvement of processes.
  • Having a comprehensive understanding of all IT software used.
  • Tracking registration requirements and ensuring Health & Safety legislation and other certifications are met / maintained.
  • Maintaining vehicle records (WOF, servicing, RUCs, repairs).
