The Opportunity

This is a rare chance to secure a pivotal behind-the-scenes role that keeps a large and complex vehicle operation running like clockwork. You'll be the central coordinator in a fast-moving environment where accuracy, systems, and people skills directly impact daily performance and cost control. If you enjoy being the "go-to" person who ensures everything from registrations to repairs and compliance is handled efficiently, this position offers genuine variety, constant problem-solving, and clear visibility of the results of your work.

With several hundred assets on the road and a dedicated in-house fleet team, the business has a strong reputation for safety, reliability and operational excellence. The Role

  • Manage the full vehicle lifecycle administration
  • Coordinate scheduled servicing, repairs and warranty claims with workshops and dealers
  • Administer fuel cards, toll accounts and issuance
  • Maintain accurate records in the fleet management system and telematics platforms
  • Process and code vendor invoices, track expenses and assist with reporting
  • Handle insurance claims, accident packs and coordination of panel repairs
  • Support compliance requirements
  • Provide support to drivers and operations teams regarding vehicle-related queries
  • Run reports on mileage, maintenance due, cost-per-km and exceptions

Your Profile

  • Proven administration experience within fleet, logistics, transport or a related operational environment
  • Strong skills in Microsoft Office (especially Excel) and confidence learning new software systems
  • Excellent attention to detail and the ability to manage multiple priorities accurately
  • Professional and clear communication style when dealing with drivers, suppliers and internal teams
  • A process-driven mindset with a genuine interest in systems and compliance
  • Previous exposure to FleetPro and Teletrac Navman would be an advantage
  • Candidates must hold valid working rights for New Zealand.
